Guidelines for Student and Postdoctoral Research Grants
International Association for Mathematical Geosciences
(appoved by Council May 21, 2009)
Purpose:
To provide financial support to students in graduate school or post-doctoral position for research in the fields of mathematical geology, geomathematics, and geoinformatics.
Individual Grant amounts may vary and shall be set by the Student Affairs Committee for each individual case, considering merit of the application and financial need. The total amount for all Research Grants for each year depends on the availability of funds (as described below).
Application Guidelines:
• An online application form is available below. An application shall not exceed the size provided by the text boxes available on the web site.
• Apply no later than October 15 each year.
• The applicant must be in any year of graduate school or in a first post-doc position.
• An individual may apply:
1) once as pre-doctoral graduate student,
2) once as PhD student,
3) once as post-doc.
• The criteria that the Student Affairs Committee may consider in evaluating applications are:
1) project motivation,
2) relation to state of the art,
3) project objectives,
4) references, who may only be contacted by the IAMG Student Affairs Committee for letters of endorsement or summaries of transcripts,
5) list of previous awards and honors,
6) preliminary plan of expenses,
7) financial need.
The relative importance placed on each of these criteria is at the discretion of the Student Affairs Committee.
• Additional sensitive information (e.g. student transcripts) may be requested only by the IAMG Student Affairs Committee and shall not be forwarded to anyone other than the Committee and IAMG officers.
• For additional questions the applicant should contact the IAMG Student Affairs Committee Chairman, or the IAMG Secretary General (in the future, the VP for Student Affairs instead of the Secretary General).
Recipients' Commitments
• The recipient is responsible for following up with the IAMG Treasurer for Grant disbursement within two months after receiving the notification of being approved.
• The recipient must provide the IAMG Student Affairs Committee with a written report (which will be published in the IAMG Website) describing research results, within one year of receiving the Grant.
• The recipient must also provide the IAMG with a statement (which will be published in the IAMG Website) describing how the funds have been used, within one year of receiving the Grant.
• The recipient must provide the IAMG with pre/reprints of any publications resulting from the funded project any time in the future.
• All publications related to the funded project must acknowledge IAMG financial support.
Internal procedure
• The Student Affairs Committee shall convene (by remote conferencing or email) between October 15 and December 15 each year to evaluate applications for Student Research Grants.
• As part of the evaluation process, the Student Affairs Committee shall verify past records or reasonable evidence to ensure that the applicant meets the guideline on number of applications (no more than once as pre-doctoral, doctoral, and post-doctoral, respectively).
• Prior to convening, the Student Affairs Committee Chair shall refer to the officially approved IAMG budget to obtain the total amount of funds available for Student Research Grants for the expected date of disbursement. In the event that a budget has not yet been officially approved, the Chair shall obtain a statement (written or by email) from the Treasurer and the President, who in consultation with the Council, may decide to approve a Research Grant amount before the budget is finalized. Any amount approved in this manner must later be included in the official budget.
• Immediately after convening, the Student Affairs Committee Chair shall:
1) Inform applicants of acceptance or rejection of applications by means of an official letter.
2) Inform accepted applicants of addresses (postal or electronic) to claim the Grant and submit statement, report, and publicaction copies.
3) Inform Treasurer of list of accepted applicants and amount approved, and send to the Treasurer copies of official approval letters.
• The IAMG Treasurer shall distribute the approved Grants immediately after being contacted by the recipient and having received all required information for fund disbursement. The IAMG Treasurer shall then inform the IAMG Webmaster of the names of Grant recipients who followed procedure for publication in the website.
• The Student Affairs Committee shall follow up with each accepted applicant who actually received funding to ensure he/she delivers the report, statement of use of funds, and publications (as described under Recipients’ Commitments above).
• The Chair of the Student Affairs Committee shall forward the report and statement of use of funds to the Webmaster immediately upon receipt for publication in the IAMG Website so that it is accessible to all IAMG members.
• The Student Affairs Committee Chair shall gather related records, including applications and reports, and submit them to the IAMG Archivist for archiving.
